A banking institution in the United Arab Emirates is seeking a professional to provide comprehensive secretarial and administrative support to the Group Treasury Head of Sales. The role involves managing schedules, client engagements, meeting arrangements, and maintaining organization within the Sales leadership office. Candidates should possess strong communication and organizational skills, be proficient in MS Office, and have prior experience in Treasury or Financial Services. This position requires maturity and the ability to handle sensitive situations in a fast-paced environment.
Provide comprehensive secretarial and administrative support to the Group Treasury Head of Sales (TGM) and assist in the efficient day-to-day management of the Sales leadership office.
Support the Treasury & Global Markets Sales team on all general administrative, coordination, and reporting matters to ensure smooth execution of business activities.
Key Result Areas
Maintain internal discipline and organization of the Group Treasury Head of Sales’ office by effectively managing meetings, appointments, calendars, client engagements, and internal discussions.
Prepare and manage the daily and weekly schedule of the Group Treasury Head of Sales, including internal meetings, client meetings, roadshows, and management forums.
Coordinate and follow up with Sales Heads, Product Heads, Trading, Structuring, Risk, and Operations on assigned action points and deliverables.
Assist in client-related logistics, including meeting arrangements, travel bookings, hotel reservations, visas, and coordination with relationship teams where required.
Act as a liaison between Sales, Trading, Structuring, Operations, Compliance, Risk, Finance, Admin, and external service providers on administrative matters.
Coordinate and follow up on Admin and Technology Helpdesk requests, including system access, user administration, hardware requests, and Sales desk setup.
Handle expense claims, reimbursements, and sales-related travel expenses in coordination with CAD, ensuring full compliance with Bank policies.
Maintain and track Sales team leave records, travel schedules, and key events calendar.
Support onboarding of new joiners within TGM Sales, including access requests, workspace coordination, and induction logistics.
Assist in organizing Sales meetings, offsites, strategy sessions, townhalls, and client events.
Prepare minutes of meetings, maintain action trackers, and ensure timely follow-ups.
Handle sensitive information with a high degree of confidentiality, particularly relating to clients, revenues, pipelines, and strategic initiatives.
Perform any other duties assigned by the Group Treasury Head of Sales from time to time.
High level of maturity with strong communication skills to balance the needs of senior management, Sales teams, and external stakeholders.
Strong interpersonal and organizational skills with good command of spoken and written English.
Ability to manage pressure, prioritize tasks, and handle sensitive situations inherent to a fast-paced Treasury Sales environment.
Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and familiar with internal HR and expense systems.
Prior experience in Treasury, Global Markets, Banking, or Financial Services is an advantage.
