We are Hiring "Office Manager (Group CEO's Office) - UAEN"

Overview

The Office Manager will be responsible for managing and coordinating the operations, processes, and resources of the CEO’s office, providing comprehensive administrative and tactical support to ensure effective functioning and strategic assistance to the CEO.

Key Accountabilities

Generic Accountability

  • Manage the office of the GCEO and its resources to ensure efficient and effective coordination.
  • Act as the ‘go to’ point for the office and ensure that all enquiries and their responses are managed and turned around in a highly efficient and informed manner.
  • Support the GCEO on all management-related aspects and act as an effective coordinator across all divisions on various projects, initiatives key to the business strategy and its execution.
  • Manage the engagement, communication, and relationships with the GCEO’s internal and external stakeholders.
Specific Accountability
  • Provide office management support to the Group CEO's Office on all day-to-day activities.
  • Initiate and manage regular Management meetings to review budget, strategy/Balanced Scorecard, etc.
  • Ensure the GCEO is prior briefed and informed as to all meetings, reviews, and decisions to be taken before the relevant deadlines and dates of meetings.
  • Manage diaries and arrange several meetings and committees for the GCEO Office.
  • Plan and book overseas travel in liaison with the International team, clients, and external parties.
  • Manage the review of monthly /quarterly reports on costs/expenses, including all business trip and corporate credit card expenses quarterly.
  • Work with colleagues from GHR, IT, and other support divisions to ensure coordination with different business departments.
  • Approve in case of delegated authorities for all business trips, expenses, and hiring requests received on various systems like Oracle, IT portal, and other internal systems.
  • Management of the Leave Schedule, Mid-Year/Annual reviews, appraisal, and staff promotion process, in line with HR Policy & Guidelines.
  • Responsible to track and consolidating various reports as and when required.
  • Oversee and manage pool resources such as Assistants, Receptionist and office boy.
An ideal candidate will have:
  • Minimum of 12 years of relevant experience in the CEO office management, preferably in the banking sector and financial institutions.
  • Advanced business and strategic skills: Able to understand the organization’s goals, translate strategy into actionable plans, and support the CEO in realizing business objectives.
  • Financial and risk management expertise: Can analyze budgets, monitor expenses, and identify risks to support informed decision-making.
  • Project and stakeholder management: Capable of managing multiple projects simultaneously, coordinating across divisions, and maintaining strong relationships with both internal and external stakeholders.
  • Communication and reporting proficiency: Strong business writing, report development, and communications management skills to ensure accurate, clear, and timely information flow.
  • Operational support skills: Proficient in data management, research, analysis, event management, and media relations to provide comprehensive support to the CEO's office.
  • Foundational brand awareness: Beginning-level understanding of brand design and management to assist in corporate representation when needed.
  • Strategically minded and decisive: Balances the needs of stakeholders with organizational priorities, anticipating challenges and proposing solutions.
  • Effective communicator: Clearly articulates ideas, ensures alignment, and maintains open channels with the CEO, teams, and external partners.
  • Proactive and enterprising: Takes initiative, identifies opportunities for improvement, and drives results with minimal supervision.
  • Collaborative: Works seamlessly with teams across departments, fostering cooperation, trust, and mutual respect.
