Job description

To handle day to day HR administrative functions linked to Governmental or Diplomatic entities and ensure accurate and timely delivery of services.

Key Responsibilities
  • To handle all requests from staff pertaining to Salary Certificate addressed to Ministry of Interior (Immigration), Police Department and Consulate and all government affairs entities and pension authority are prepared and issued in a timely and accurate manner.
  • Maintaining records and a tracking system to follow up on delivered documents or pending documents thus keeping an update in the system HRMS on every document delivered.
  • To prepare documentation in prescribed formats in coordination with the Company departments and employees and follow up on the renewal for any of the above listed documents in a timely and accurate manner.
  • To ensure safe passport keeping and coordinate the access to passport as per company procedure. Handing over of passports to employees when going on leave or on emergency leaves upon request.
  • To handle the issuance of new Employee Id. Cards and the renewal of it on due time thus ensuring every employee possess identification during work.
  • To prepare documentation to the (DOHMS) Department of Health Medical Services to obtain Health Cards and to (SS)divination – HR to obtain Neuron Health Cards for new employees and authorized dependents and ensure on time renewals.
  • Maintain and update records on HRMS as per level of authorization and Section workflow chart and ensure 100% data integrity, as well as ensuring access for the approved individual.
  • To maintain a proper filing and filing control of all records/documents into employees personal files. Also keep a record of file movements and ensure that no files are missing or lost thus keeping an accurate database of documents.
  • To establish effective communication and to be accountable for all matters related to the pension authority, providing advice when required to departments and employees.
