Job description

Responsibilities

• Process & completion of employment visas, residence visas and all Heartists transactions related to immigration.
• Monitor the renewal of permits and licenses including hotel trade license, liquor trading license, chamber of commerce certificates of registration, civil defense certificate for the hotel, etc.
• Ensure that all relevant documents are submitted periodically to the immigration/absconding employees whenever required.
• Liaise with the Hotel Nurse to ensure that Heartists who have direct contact with guests must have their Occupational Health Card.
• Monitor the visa, UAE ID, passport, occupational health card expiration of all the employees.
• Process entertainers permit as requested from F&B Events departments and tenants on our account on DTCM online system.
• Process the shisha licenses renewal via the Dubai municipality online system.
• Update the tracking lists such as passport & visa expiry date, licenses expiry date, etc.
• Make sure that all Heartists collect their EID once received from Emirates post office.
• Obtain monthly reports from the immigration website to maintain all records.
• Ensure that you maintain total confidentiality at all the time.
• Liaise and work closely with the Talent & Culture Coordinator to ensure that forms and formats for all transactions are correct and as per standard.
• Be up to date with regard to any changes or amendments to the prevailing laws / rules / regulations changes in forms / formats and other procedures and keep the Talent & Culture Department advised of such changes.
• Complete departure and exit formalities to the airport for Heartists after cancellation of visas.
• Obtain quarterly sponsorship reports from the immigration office and tally sponsorships and resubmit to immigration office with relevant support documents.
• Inform with official communication from the Government whenever there is a dry day or public holiday announcement.
• Submit all receipts and expense claims to Finance Department on timely basis.
• Participate in the filing process for each Heartist by adding all government documents and expenses form in personal file.
• Accompany employees to the airport at the end of their contract to ensure visa cancellation.
• Submit relevant documents periodically to the immigration office with regard to absconding.
• Assists with all Government matters where necessary.

Qualifications

• Experience: Minimum of 34 years of UAE experience as a GRO with a strong understanding of UAE labor laws, visa regulations and government procedures.
• Driving License: Valid UAE driving license is required.
• Skills: Strong communication, organizational and problem‑solving skills. Ability to handle confidential information with integrity.
• Good working knowledge of computers.
• Excellent English & Arabic communication skills; additional languages are a plus.
