Job Title

Executive Assistant | MAF Entertainment | Development & Asset management

Role Summary

The executive assistant role is to coordinate among all stakeholders within the team and other departments to ensure smooth operations. They are responsible for devising and maintaining office systems, including data management and filing, and handling administrative tasks. Additionally, the role involves arranging travel, visas, and accommodation, and occasionally accompanying the manager to meetings or presentations to take notes, provide dictation, or offer general assistance.

Role Profile
  • Consolidates travel expenses, flight tickets, hotel reservations, and updates related reports in SAP Concur.
  • Manages correspondence, phone calls, and sensitive information with confidentiality.
  • Maintains and updates project trackers, office systems, and administrative procedures.
  • Organizes diaries, meetings, appointments, and prepares agendas and documentation.
  • Assists in preparing monthly reports, presentations, and operational documents for the team.
  • Supports smooth daily operations for the department.
  • Takes minutes, transcribes dictations, and types office correspondence, letters, memos, and circulars.
  • Maintains and prioritizes files, tracking reports, and other documentation for efficient workflow.
Requirements
  • 3–5 years as a Personal Assistant or Administrator supporting managerial-level staff.
  • Bachelor’s degree or equivalent.
  • Proficient in MS Office (Word, PowerPoint, Excel).
  • Fluent in Business English, Arabic is a plus, & strong interpersonal skills.
