Job summary

A leading UAE company is seeking an experienced Executive Assistant to support senior leadership by managing schedules and communications. The ideal candidate will have over 5 years of experience, including at least 2 years in the UAE, and strong corporate communication skills. Responsibilities include managing calendars, travel logistics, and coordinating projects. Proficiency in Microsoft Outlook, Teams, Word, Excel, and PowerPoint is required. JOB PURPOSE:

The Executive Assistant supports senior leadership by managing calendar schedules, internal and external communications, and day-to-day operational requirements, to ensure smooth coordination of projects and cross-department activities maintaining organizational efficiency.

This role is ideal for someone with solid exposure to a fast-paced corporate environment, with the ability to manage executives’ priorities and confidential information.

We require an assertive and self-assured professional who can take ownership, handle critical tasks with professionalism, discretion, and proactive judgment, make informed decisions, and confidently navigate demanding situations.

KEY ACCOUNTABILITIES:
  • Managing the Executives' calendar, interacting with both internal and external executives and/or their offices to coordinate a variety of meetings / presentations / board meetings etc. and all relevant paperwork, agendas and ground logistics.
  • Managing travel requests, both scheduled and adhoc for the Executives and team, including flights, hotels, visas, and ground logistics. This also extends to group bookings, catering and conference facilities.
  • Assisting with strategic planning of group events including team building activities, townhalls, seminars and festive events.
  • Drafting, editing and proof-reading emails, letters and internal communications.
  • Managing and maintaining an electronic documentation control system to ensure ease of access to required information/documentation at all times.
  • Coordinating cross-functional projects end-to-end, ensuring timelines, deliverables, and stakeholder updates are consistently met.
  • Supporting priority and time-based projects and on-going assignments including office logistics coordination, employee engagement projects, etc.
  • Conducting research and carrying out due diligence on specific subjects/products/services.
  • Managing corporate gifting and greetings all year round.
  • Identifying and implementing improvements and modifications to administrative procedures to ensure the highest standards of administrative support to business activities.
EXPERIENCE, SKILLS & QUALIFICATION:
  • Bachelor’s degree preferred.
  • Excellent corporate communication skills, fluency in English.
  • Minimum of 5 years’ experience in high level executives' office with at least 2 years’ in the UAE.
  • Proficient in Microsoft Outlook, Teams, Word, Excel and PowerPoint
  • Polished and presentable EA
  • Head strong decision maker.
