Job Title: Event Assistant

Job Summary: Events Assistant supports the planning, coordination, and delivery of the Event Section Head including the venue hire services and events within cultural and heritage sites. This role ensures excellent client service, smooth event operations, and the protection and respectful use of culturally significant spaces.

Key Responsibilities

Venue Hire Support

  • Assist with enquiries, bookings, and contracts for venue hire
  • Coordinate site visits and liaise with clients, suppliers, and internal teams
  • Support scheduling, invoicing, and record-keeping for venue hire activities
  • Ensure compliance with site regulations, capacity limits, and heritage guidelines

Event Coordination

  • Support the planning and delivery of events (e.g. exhibitions, performances, workshops, private hires)
  • Assist with event logistics including room setup, equipment, access, and timelines
  • Be present during events to support clients and troubleshoot issues
  • Coordinate with security, technical staff, and front-of-house teams

Cultural Site Care & Compliance

  • Ensure events respect the cultural, historical, and conservation requirements of the site
  • Monitor use of spaces to prevent damage and ensure safe practices
  • Support risk assessments and health & safety procedures

Administration & Communication

  • Maintain accurate records, calendars, and event documentation
  • Respond to client enquiries professionally and promptly
  • Support marketing of venue hire opportunities when required
Skills & Experience

Essential

  • Minimum 3 6 years of experience in venue hire services and/or event coordination
  • Experience in cultural, heritage, museum, gallery, or historic sites
  • Ability to work evenings or weekends for events when required

Desirable

  • Knowledge of heritage conservation or cultural site protocols
  • Experience with booking systems or event management software
  • Basic understanding of health & safety and risk assessments
