A leading property development company in the United Arab Emirates is seeking a document management specialist to oversee the handling of electronic and hardcopy documents through project phases. Responsibilities include administering the Document Management System, performing quality checks, and ensuring timely document distribution and archiving. The ideal candidate will have strong organizational and communication skills, alongside the ability to work calmly under pressure. Proven experience with document management tools like PMWeb and SharePoint is required.
Management of electronic and hardcopy documents until handover of information on project close-out, cancellation and suspension.
Operate and administer the Document Management System (DMS/EDMS)—e.g., PMWeb, SharePoint— configuring metadata, permissions, and workflows
Receiving and acknowledgement of documents from internal or external source by date stamping the hardcopy upon receipt and checks on electronic submission through the company’s EDMS.
Quality check of received documentation, document number, revision and mandatory Metadata information.
Distribution of electronic files for all internal recipients and transmission in accordance with distribution matrix or as directed.
Preparation, checking, validation of documentation for archiving and handover during Project Close-out.
Conduct regular audits to ensure documentation completeness, compliance, and quality.
Generate periodic status reports (registers, dashboards) and support document-related handover processes
Ensure documents are shared at key times to facilitate timely project completion.
Coordinate with relevant stakeholders to manage the flow of documents in and out of the department
Excellent written and verbal communication skills, able to communicate effectively with manager and engineers from Damac Digital, Damac, contractors and customers on specific tasks
Very organised and able to conduct essential business calmly and focused under pressure
Highly motivated and with a ‘can do’ attitude
