Responsibilities

  • Manage and control all tender-related documentation.
  • Ensure proper document version control, numbering, formatting, and filing.
  • Maintain and update tender document registers, logs, and tracking sheets.
  • Coordinate with estimation, technical, commercial, and management teams.
  • Ensure that all tender submissions are compiled and organized.
  • Check submitted documents for completeness and compliance.
  • Maintain an organized electronic and hard copy filing system.
  • Track addenda, clarifications, and client communications.
  • Assist in the preparation of prequalification submissions.
  • Support the implementation of document control procedures.
  • Handle printing, binding, scanning, and packaging of tender submissions.
  • Maintain confidentiality of all tender and commercial information.

Duties and Responsibilities
  • Manage and control all tender-related documentation, including prequalification documents, technical submissions, commercial submissions, and supporting records.
  • Ensure proper document version control, numbering, formatting, and filing in line with company procedures and tender requirements.
  • Maintain and update tender document registers, logs, and tracking sheets for all incoming and outgoing bid documents.
  • Coordinate with estimation, technical, commercial, and management teams to collect required documents for tender submissions.
  • Ensure that all tender submissions are compiled, formatted, and organized as per client instructions and deadlines.
  • Check submitted documents for completeness, accuracy, and compliance with tender requirements.
  • Maintain an organized electronic and hard copy filing system for all tender documents and correspondence.
  • Track addenda, clarifications, and client communications during the tendering stage and ensure proper circulation to concerned teams.
  • Assist in the preparation of prequalification submissions and company registration documents for new clients.
  • Support the implementation of document control procedures in line with the company’s Quality Management System.
  • Handle printing, binding, scanning, and packaging of tender submissions when physical submission is required.
  • Maintain confidentiality of all tender and commercial information.
