Job Purpose
To support the development and successful implementation of the section’s framework, whilst managing all aspects to develop recommendations for measures to improve the work climate in the organization.
Main Responsibilities
- Manage the tendering process and all of its relevant areas consisting of sourcing, evaluating and awarding.
- Receive, review and edit project requirements from end users, and consequently communicate to the suppliers.
- Liaise with end users to keep track of financial and technical areas of projects.
- Represent the organization in contractual discussions of contracts and tenders.
- Coordinate and manage negotiation meetings between DIEZ and suppliers, and participate in negotiating contract terms, pricing and payment schedules.
- Source the best and most suitable suppliers in the market to ensure quality and cost efficiency.
- Prepare and cascade periodic status reports for the management team.
- Assist with the development and implementation of long- and short-term departmental strategies.
- Assist in establishing tendering and contracting policies, procedures, and standards, to protect the organization’s rights and best serve the customers.
- Discuss with end users the projects required within the annual plan in order to prepare accordingly.
- Perform financial evaluations of proposals and submissions to determine the most competitive bids within pre-defined general guidelines.
- Maintain an updated database of vendors and suppliers for ease of reference at any time as would be required.
- Manage pre and post contract phases, including variations termination and evaluations.
- Prepare review and communicate contracts and all official correspondences.
Qualifications
- 1–3 years of experience in procurement, tendering, contracting, or administrative support.
- Basic understanding of procurement processes, supplier management, or contract administration.
- Internship in procurement, supply chain, or administration is an advantage.
- Strong communication and coordination skills.
- Good analytical and research abilities.
- Attention to detail and accuracy.
