Job Purpose

The Compliance Assistant Manager will ensure contractor adherence to project specifications and contractual obligations to maintain project integrity, particularly concerning outstanding defects and non-attendance. This role requires expertise in contract terms, developing clear scopes of work for engaging third parties when the main contractor fails to perform, managing tender processes, supervising work progress, and maintaining formal communication, including issuing notices, safeguarding project timelines and quality.

Roles, Responsibilities, Duties

The Compliance Assistant Manager shall be responsible for the following:

Defect Management
  • Proactively identify and track outstanding defects and instances of contractor non-attendance.
  • Ensure timely rectification of defects by the main contractor, escalating issues as necessary.
  • Maintain accurate records of all defects, rectification actions, and communication.
Contract Compliance
  • Interpret and apply relevant contract terms to ensure contractor compliance.
  • Monitor contractor performance against contractual obligations.
  • Advise project teams on contractual matters and potential risks.
3rd parties Project Management
  • Develop detailed scopes of work for defects not performed by the main contractor.
  • Manage the tender process for those projects, including bid evaluation and contractor selection.
  • Supervise and monitor the progress of awarded projects, ensuring adherence to specifications and timelines.
  • Ensure proper handover of projects.
Communication and Reporting
  • Prepare and issue formal communications, including notices of non-compliance, to contractors.
  • Maintain clear and concise communication with project teams, contractors, and other stakeholders.
  • Generate regular reports on defect status, contractor performance, and project progress.
Documentation
  • Maintain organized and up to date project files and documentation.
  • Ensure all documentation complies with company and regulatory requirements.
Risk Mitigation
  • Identify and assess potential compliance risks related to contractor performance.
  • Develop and implement mitigation strategies to minimize risks.
Qualification
  • Bachelor’s degree in engineering, Construction Management, or a related field.
  • 10 years’ working experience
  • Proven experience in contract administration and compliance within the construction/projects industry.
  • Strong understanding of contract terms and conditions.
  • Experience in developing scopes of work for projects.
  • Experience in managing tender processes and supervising construction work.
