Job summary

Global Business Travel Association (GBTA) is seeking an Exhibit Operations Specialist to manage exhibit fulfillment, databases, floor plans, and cross-team coordination for our global expos in a dynamic, remote-friendly environment.

You will collaborate with sales, marketing, and operations to ensure accurate exhibitor communications and invoicing, drive event logistics, and support vendors, with travel up to 15%. A strong focus on teamwork and adaptability is essential.

Qualifications

• Bachelor's degree in marketing, project management or related field.
• Minimum of 2-3 years marketing, sales operations, or business development experience.
• Strong working knowledge of showing mapping systems such as ExpoFP, Map Your Show, Expocad.
• Strong working knowledge of Salesforce or similar CRMs.
• Strong working knowledge of Cvent.
• Working knowledge of all Microsoft Office products, including strong PowerPoint skills.
• Detail oriented and highly organized, with strong oral and written communication skills.
• Self-motivated, proactive, and comfortable working independently in a remote environment, while thriving in a fast-paced working environment.
• Focus on Team success and cross-team collaboration.
• Ability to work varying hours based on events needs and global time difference accommodations, may include evenings and weekends.

Responsibilities

• Manage exhibit deliverables for all events in partnership with the sales operation fulfillment team.
• Respond to exhibitor requests and invoices, generate reports.
• Execute fulfillment process from booth sale to post-event updates and codes.
• Maintain expo database records and update floor plans on the website.
• Track expo booth support badges and approvals in mapping systems.
• Collaborate with marketing on exhibitor service manuals and materials.
• Coordinate floor plan updates with the general service contractor.
• Assist housing and registration processes with Meetings department.
• Guide exhibitors through Appointment tool usage and communications.
• Assist with booth design requests, priority points and expo selection center details.
• Coordinate exhibitors move-in/move-out and event logistics.
• Drive incremental exhibit revenue through upsell opportunities.
