This dual-function role combines Records Clerk tasks and Case Manager assistance, with daily communication to clients, providers, and staff. Full-time remote schedule is 8:30 AM–5:00 PM PST.

Qualifications

• Experience in a U.S. personal injury law firm with medical records retrieval.
• Ability to perform Records Clerk and Case Manager Assistant duties.
• Strong written and spoken English with professional client communication.
• Excellent organization and attention to detail with multi-case follow-through.
• Proficiency in Microsoft Word, Excel, Outlook and Litify or similar CMS.

Responsibilities

• Build complete case files by requesting medical records, bills, reports, photos, insurance docs and other supporting records.
• Follow up with hospitals, clinics, and providers to move requests.
• Label and upload case documents in Litify accurately and accessibly.
• Support Case Managers with case progression updates and administrative tasks.
• Keep client, treatment, provider, and insurance data accurate during pre-litigation.
• Assist demand preparation by identifying documentation gaps and ensuring completeness.
• Explain needed documents to clients clearly and professionally.
• Process incoming documents and route to the correct files and team members.
• Maintain tracking logs and reports showing pending requests and deadlines.
