Job summary

HireHawk Inc. is seeking a dual-function Records Clerk and Case Manager Assistant to support a U.S. personal injury team remotely. You will secure missing medical records, manage case information, and assist with demand readiness across multiple active files.

You’ll track treatment updates, communicate with clients and providers, and handle follow-ups with confidentiality and professionalism during pre-litigation. Strong English skills and meticulous organization are essential.

Qualifications

• Must have prior experience in a U.S. personal injury law firm, including retrieval of medical records and medical bills.
• Ability to perform Records Clerk and Case Manager Assistant duties with knowledge of treatment tracking and pre-litigation demand prep.
• Strong written and spoken English, professional client communication.
• Excellent organization and attention to detail with multi-case throughput.
• Proficiency in Word, Excel, Outlook; familiarity with Litify or similar platforms.

Responsibilities

• Build complete case files by requesting and obtaining medical records, medical bills, police reports, photos, insurance docs, and other records.
• Follow up with hospitals, providers, imaging centers, employers, and agencies to move requests forward.
• Label and upload documents in Litify, keeping files organized and searchable.
• Support Case Managers with case progression through timely updates and clear communications about outstanding items.
• Maintain accurate client, treatment, provider, and insurance information throughout pre-litigation.
• Assist with demand preparation by identifying documentation gaps and securing missing records.
