Overview
We are seeking a friendly, organized, and proactive Office Coordinator to serve as the welcoming face of our company while supporting a variety of office, facilities, safety, and accounting functions. This role is ideal for someone who enjoys creating a positive office experience, staying organized, and helping keep operations running smoothly.
Primary Responsibilities
Front Desk & Administrative Support
- Welcome and assist visitors in a warm, professional manner
- Answer and direct phone calls and emails
- Maintain a clean, organized reception area and shared spaces
- Manage incoming and outgoing mail, packages, and deliveries
- Provide general administrative support, including filing, data entry, and document preparation
- Assist with scheduling meetings, conference rooms, and company events
- Assist employees with coordinating and booking travel arrangements, ensuring accuracy, cost‑effectiveness, and adherence to company travel policies.
- Assist with basic accounting tasks
- Support the Executive Assistant with a variety of administrative and operational tasks to ensure efficient workflow and timely completion of departmental priorities.
- Responsible for coordinating and ordering snacks, meals, and refreshments for meetings, events, and office activities.
- Serves as a member of the event committee and assists with planning, coordination, and completion of tasks related to company meetings and events
Facilities & Office Coordination
- Support daily office operations and supply inventory
- Assist with coordinating maintenance requests, vendor visits, and service appointments
- Monitor office equipment and ensure workspaces are well-maintained
Safety Support
- Assist with safety documentation and internal compliance processes
- Help coordinate safety communications and trainings
- Support ongoing initiatives to maintain a safe and compliant workplace
General Office Support
- Provide administrative support across departments as needed
- Identify ways to improve processes and office efficiency
- Take on additional tasks to support team and organizational success
Qualifications
Required Qualifications
- Degree in Business Administration, Administrative Support, or a related field preferred.
- 3+ years of administrative support experience preferred, 1+ years of administrative support required.
- Strong proficiency in Microsoft Office and general office technology
- Excellent oral and written communication skills
- Outstanding organization and attention to detail
- Ability to work effectively with individuals across diverse backgrounds
- Must be able to sign a non-disclosure agreement
Classification and Compensation
Full Time/Benefited
- Competitive salary $52,000 to $60,000, depending on experience
