Work Arrangement: 4 Days Onsite / 1 Day Remote
Position Summary
We are seeking an experienced and highly organized Executive Assistant to support senior leaders within our Investor Relations organization. This individual will serve as a trusted partner, managing complex administrative responsibilities while helping drive efficiency across a fast-paced, high-profile function.
The ideal candidate will have 5+ years of Executive Assistant experience within the financial services industry, supporting senior executives and managing competing priorities with professionalism, discretion, and attention to detail.
Key Responsibilities
- Provide comprehensive administrative support to senior Investor Relations executives.
- Manage complex calendars, meeting coordination, and scheduling across multiple time zones.
- Coordinate domestic and international travel arrangements, including detailed itineraries and expense reporting.
- Organize investor meetings, earnings calls, conferences, roadshows, and executive events.
- Prepare and edit presentations, reports, meeting materials, and executive correspondence.
- Act as a key liaison between Investor Relations leaders, executive management, investors, analysts, and internal stakeholders.
- Track priorities, deadlines, and follow-up actions to ensure timely execution of key deliverables.
- Support quarterly earnings and other Investor Relations activities as needed.
- Handle confidential and sensitive information with the highest level of discretion.
- Assist with special projects and provide additional administrative support as required.
Required Qualifications
- 5+ years of Executive Assistant experience supporting senior executives within Investor Relations
- Experience supporting leaders within Investor Relations, Investment Banking, Asset Management, Private Equity, Capital Markets, Corporate Finance, or related financial environments.
- Strong understanding of financial services terminology and executive-level business operations.
- Exceptional calendar management, travel coordination, and meeting planning skills.
- Advanced proficiency with Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Teams.
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Proven ability to exercise discretion and maintain confidentiality.
