Job summary

Responsibilities

  • Provide executive-level administrative support to senior Investor Relations team members.
  • Manage complex calendars across multiple time zones.
  • Coordinate internal and external meetings, calls, and appointments.
  • Arrange and manage travel, including itineraries.
  • Prepare executives for meetings with organized schedules and materials.
  • Handle confidential information with discretion.
  • Prioritize and route communications appropriately.
  • Coordinate meetings with investors, LPs, portfolio companies, and external stakeholders.
  • Assist with meeting materials and logistics.
  • Track follow-ups and deadlines to ensure timely execution.
  • Coordinate team meetings, offsites, and events.
  • Collaborate with other EAs and internal teams for smooth coordination.
  • Anticipate executives' needs and manage administrative details.

Job description

Our client, a leading venture capital firm, is seeking a highly polished and proactive Executive Assistant to support senior members of the firm's Investor Relations team. This is a high-visibility opportunity for an experienced EA who thrives in a fast-paced, sophisticated environment and is exceptional at managing complex schedules, coordinating priorities, and providing seamless day-to-day support.

This position is temp-to-perm and follows a hybrid schedule of four days per week onsite and one day remote. It offers the opportunity to become a long-term member of a high-performing investment organization.

Responsibilities
  • Provide comprehensive executive-level administrative support to senior members of the Investor Relations team
  • Manage complex, frequently changing calendars and scheduling across multiple time zones
  • Coordinate internal and external meetings, calls, and appointments
  • Arrange and manage domestic and international travel, including detailed itineraries
  • Prepare executives for meetings by organizing schedules, materials, and relevant information
  • Handle sensitive and confidential information with a high degree of discretion
  • Manage incoming communications and correspondence, prioritizing and routing information appropriately
  • Coordinate meetings with investors, limited partners, portfolio companies, and other external stakeholders
  • Assist with meeting preparation, including agendas, materials, and logistics
  • Track follow-ups, deadlines, and action items to ensure timely execution
  • Coordinate team meetings, offsites, and occasional events
  • Partner closely with other EAs and internal teams to ensure smooth coordination across the firm
  • Anticipate executives' needs and proactively manage administrative details before they arise
  • Take ownership of day-to-day administrative operations and serve as a trusted partner to the executives you support
Qualifications
  • 5+ years of experience as an Executive Assistant supporting senior-level executives
  • Experience in venture capital, private equity, investment banking, financial services, or another highly professional environment preferred
  • Exceptional calendar management and organizational skills
  • Strong written and verbal communication skills
  • Extremely detail-oriented with excellent follow-through
  • Ability to prioritize and manage multiple competing demands in a fast-paced environment
  • High level of professionalism, discretion, and confidentiality
  • Comfortable working with senior executives, investors, and high-profile external contacts
  • Strong judgment and ability to anticipate needs
  • Proficiency with Microsoft Office, Google Workspace, and modern scheduling/communication tools
