Job description

We are seeking a highly polished, proactive, and discreet Executive Assistant to provide support to a senior-level executive for a financial firm. This role requires exceptional organizational skills, sound judgement, and the ability to thrive in a fast-paced, high-performance environment. The ideal candidate is a strategic thinker and trusted partner who can manage complex schedules, high-stakes communications, and confidential projects with professionalism and precision. This is a critical, visible role supporting a dynamic leader with broad responsibilities across the firm, portfolio companies, and investor relationships.

Responsibilities
  • Provide high-touch, anticipatory support to a Senior Executive, managing an ever-changing calendar across time zones, coordinating internal and external meetings with investors, portfolio executives, and board members, and ensuring flawless execution of all logistics.
  • Act as a strategic gatekeeper, exercising sound judgement in prioritising requests, protecting their time, and facilitating efficient communication between senior leadership, LPs, and other key stakeholders.
  • Coordinate complex domestic and international travel, including private aviation and last-minute itinerary changes, while managing all accompanying logistics such as visas, accommodations, ground transportation, and meeting prep.
  • Prepare and manage confidential materials, including investor decks, board packets, and sensitive transaction documents, often under tight deadlines with a high degree of accuracy and discretion.
  • Own the execution of internal and external communications, drafting emails, handling follow-up, and ensuring a polished and professional tone aligned with the firm’s standards.
  • Facilitate deal and diligence workflows by tracking timelines, following up with portfolio company executives and bankers, managing data room access, and ensuring the executive remains briefed and prepared at every stage.
  • Build trusted relationships across the firm, from junior team members to external investors and CEOs, representing the executive with warmth, authority, and professionalism.
  • Manage and execute special projects, including leadership offsites, investor events, and confidential initiatives that require discretion, coordination, and a high level of ownership.
  • Maintain and update highly sensitive contact databases and CRM systems, tracking investor touchpoints, portfolio interactions, and critical firm communications.
  • Adapt quickly in a high-pressure environment, handling frequent interruptions, shifting priorities, and fast decision-making with grace, agility, and a proactive mindset.
Requirements
  • 8 + years of experience as an Executive Assistant; prior C-level support strongly preferred.
  • Proficient in Microsoft Office, including PowerPoint, Outlook, Word, and Excel.
  • Trusted professional with a strong sense of integrity and discretion.
  • Excellent written and verbal communication skills, with strong grammar and proofreading abilities.
  • Self‑motivated, reliable team player with the ability to work independently in a fast-paced, high-volume environment.
  • Skilled in multitasking, prioritisation, problem-solving, and project management.
  • Highly organised with exceptional attention to detail.
