Overview

The Trust Administration Officer will support the senior trust administrator(s) / client manager(s) in handling the administrative responsibilities for a portfolio of trusts, companies and other wealth structures ensuring timely delivery and high quality of service to both intermediaries and clients. The intermediaries and clients include a portfolio of both English and (pure) Chinese speaking intermediaries and clients. The role holder will work with the senior trust administrator(s) / client managers to identify and mitigate risk across their span of control and will be responsible for supporting their team mates within the office.

Key Accountabilities
  • Administrative: The Trust Administration Officer will ensure that all documents are stored (electronically and physically) according to agreed policies and procedures.
  • Intermediaries / Clients: The Trust Administration Officer will ensure that they deliver high quality service to all intermediaries and clients, working closely with the senior trust administrator(s) / client manager(s).
  • They will support the senior trust administrator(s) / client manager(s) in delivering upon opportunities to drive up levels of client service. The role holder will ensure they deliver on client commitments based on agreed deadlines and to a high standard.
  • The Trust Administration Officer takes responsibility for preparing (amongst others) bank account opening documents, trust review packs and documents for the senior trust administrator(s) / client manager(s).
  • Commercial: The Trust Administration Officer will achieve personal targets as set out for their role for time recording and utilization. They will support the senior trust administrator(s) / client manager(s) in ensuring prompt collection of debt.
  • Risk: The Trust Administration Officer takes responsibility for carrying out risk screenings on clients/ trust related parties, first level client CDD reviews and preparing the required documents according to agreed policies and procedures.
Knowledge and Experience
  • Professional and Technical Experience: The successful applicant will demonstrate good client service delivering against the needs and demands of high net worth clients. They will demonstrate a basic understanding of the technical principles of day to day fiduciary administration.
  • Personal Attributes: The Trust Administration Officer will put their clients at the centre of everything they do building relationships and working to exceed expectations, they will be flexible and professional when working under time driven pressures and will develop with coaching their prioritization and time management skills. They will be self- motivated and focused on exceeding targets and goals.
  • Language Skills: English and Mandarin (the role holder will be required to converse in Mandarin to the pure Chinese speaking intermediaries and clients).
  • Academic and Professional Qualifications: The Trust Administration Officer is expected to study towards a relevant professional qualification (such as STEP), and to be holding at least a Diploma.
