Job summary

A leading transportation provider in Singapore is seeking a compliance and training administrator to manage course approvals, trainee records, and vocational licence applications. The ideal candidate will have a diploma and experience in training administration, as well as strong attention to detail and strong communication skills. Familiarity with Training Partner Gateway is highly preferred. This position requires effective coordination across multiple stakeholders and managing compliance requirements.

Job Roles
  1. Licensing & Regulatory Compliance
    • Track course approvals, accreditation validity, and compliance requirements.
    • Maintain compliance with SSG / LTA / relevant authorities (as applicable).
    • Prepare documents for audits, inspections, and spot checks.
    • Maintain a compliance calendar (renewals, audits, submissions, assessments).
  2. Training Enrolment, Induction & Learner Management
    • Handle course enrolment, eligibility checks, and prerequisite verification.
    • Conduct trainee induction and onboarding, including briefing on:
    • Course structure and schedules
    • Attendance and assessment requirements
    • Compliance obligations and training policies
    • Maintain accurate trainee records (NRIC/FIN, licences, attendance, assessments).
    • Coordinate training schedules, trainers, assessors, venues, and resources.
    • Communicate course details, document requirements, and assessment schedules to trainees.
  3. Training Partner Gateway (TPG) Administration
    • Create and update course runs in Training Partner Gateway.
    • Upload and submit: Attendance records, Assessment results, Required supporting documents.
    • Ensure timely and accurate submission to avoid compliance breaches.
    • Monitor submission status and resolve rejected or queried submissions promptly.
  4. Vocational Licence Application Management
    • Handle application, renewal, and tracking of vocational licences for trainees.
    • Prepare and submit required documentation to relevant authorities.
    • Follow up on application status and address queries or deficiencies promptly.
    • Ensure vocational licence records are accurate and audit-ready.
  5. Training Documentation & Records
    • Prepare, check, and file:
      • Training plans & Lesson plans
      • Assessment papers and checklists
      • Attendance and assessment records
    • Maintain softcopy and hardcopy filing system (audit-ready).
    • Ensure document version control and proper approval sign-offs.
  6. Trainer & Assessor Coordination
    • Coordinate trainer and assessor schedules and availability.
    • Collect and verify trainers’ documentation and submissions.
    • Flag deviations or non-compliance issues to management.
  7. Process Training Invoices & Claims
Job Requirements

  • Familiarity with Training Partner Gateway (TPG) is highly preferred.
