Job Title: Temporary Specialist Associate

Job Description

The purpose of this temporary role is to provide dedicated, hands‑on support for the comprehensive takeover of learning environments and meeting spaces from the Faculty of Law. The staff will be responsible for conducting a meticulous inventory audit of all assets and non‑assets, assessing their functional condition, and documenting any facility defects. This is critical to ensure a smooth, accurate, and accountable transition of facilities to LKYSPP, ensuring all spaces are operationally ready within the project timeline.

  • Assist in the physical takeover of all assigned learning environments and meeting spaces from the Faculty of Law.
  • Conduct a thorough tally of all assets in each space against the official SAP‑generated asset list to ensure all items are accounted for.
  • Create, maintain, and update an Excel spreadsheet to catalogue non‑asset items (e.g., tables, chairs, cabinets, keys) in each space.
  • Perform accurate data entry of inventory information (assets and non‑assets) and update records promptly.
  • Inspect and document the working condition of all assets and non‑assets, clearly noting any issues or discrepancies.
  • Identify, record, and report any facilities defects such as markings on walls, torn carpets, damaged ceiling boards, or other visible issues, so that these can be addressed by the facilities team.
  • Prepare summary reports highlighting the status (working/faulty) of each item, any missing or problematic equipment, and any facility defects observed.
  • Liaise with departmental staff, facilities team, and vendors as required for clarification or further checks.
  • Support the detailed inventory and functional checks for AV equipment, including but not limited to projectors, sound systems, microphones, and control panels.
  • Assist in the handover documentation and provide administrative support related to the takeover process.
Qualifications
  • Minimum GCE ‘O’ Level or equivalent.
  • Prior experience or knowledge in handling AV (audio‑visual) equipment is highly preferred.
  • Strong attention to detail and meticulousness in documentation, data entry, and reporting.
  • Proficient in Microsoft Excel; able to create, manage, and update spreadsheets.
  • Good organizational and communication skills.
  • Able to work independently and as part of a team.
  • Physically able to conduct room‑to‑room inspections and handle light lifting of equipment if needed.
  • Experience in data entry or clerical work will be an added advantage.
