Job summary

A leading education support company in Singapore is seeking a Temporary Administrative Executive to provide comprehensive administrative support to academic staff and students. You will coordinate assessments, advise students on academic policies, and maintain accurate records. The ideal candidate should possess a diploma, have excellent communication skills, and the ability to work independently in a fast-paced environment. This role is for a duration of 2 months with a pay rate starting from $13/hour.

Job description

Our client is looking for a 3xTemporary Administrative Executive to provide comprehensive administrative support to academic staff and students, and to maintain academic systems and processes.

Additional Information:
  • Dates required: ASAP for 2 months
  • Time: Monday - Friday, 8:30am to 6pm (1 hour unpaid break)
  • Location: Kent Ridge
  • Salary: From $13/hour
Key Responsibilities:
Assessments & Examinations
  • Coordinate and manage all aspects of progressive assessments and final examinations, including scheduling, room bookings, invigilation, and communication with staff and students.
  • Ensure assessment and exam materials (including online links, papers, and stationery) are securely stored, complete, and distributed appropriately.
  • Support students with special examination needs and handle exam clash arrangements.
  • Supervise and coordinate invigilator recruitment, scheduling, and training, including processing timesheets and payments.
  • Maintain accurate records in the Student Management System to facilitate the issuance of certificates and transcripts.
Student Management & Academic Support
  • Advise students on course requirements, academic policies, and procedures.
  • Process student enrolments, requests for extensions or deferred assessments, and appeals or reviews of results.
  • Handle cases of academic misconduct in accordance with institutional policies.
  • Identify students at risk and refer them to appropriate academic support services.
  • Assist in the preparation and maintenance of class schedules, surveys, student ID cards, and formal letters.
Marking & Moderation
  • Coordinate the marking process and distribute guidelines to lecturers to ensure timely feedback and return of assessments.
  • Process marking fee invoices and ensure payment timelines are met.
  • Manage moderation processes and liaise with Unit Coordinators and lecturers on required actions.
  • Organize the release of results and return of assessments post-moderation.
University & Board Processes
  • Ensure student academic progress complies with university regulations.
  • Assist in preparing documents and attending the Board of Examiners meetings.
Other Duties
  • Provide general academic support to staff and students.
  • Perform ad-hoc tasks as assigned by the Senior Manager (Academic).
Requirements:
  • A diploma (or equivalent qualification).
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills with the ability to work with diverse groups, including international students.
  • Proven ability to work independently and meet tight deadlines.
