Job description

We are looking for a proactive and experienced Technical Administrator for one of our global shipping clients. The candidate will be responsible to ensure seamless operational support for the company's fleet management activities through meticulous administrative oversight and proactive coordination. The ideal candidate would have at least 5 years experience, with good organizational and interpersonal skills.

Responsibilities
  • Coordinate and compile weekly, monthly, bi-annual, and quarterly reports for various stakeholders and projects as assigned.
  • Ensure timely distribution and accuracy of owner reports and performance monitoring reports related to hull propeller assessments, underwater inspections, certificate management, vessel monitoring, and visit status.
  • Manage documentation related to vessel inspections, dry dock reports, hold and tank reports, renewal of radio licenses, IHM implementation, EEXI compliance, engine particulars, CII correction factors, and LED light conversion projects.
  • Maintain physical drawings, certificates, and agreements for new vessels across the fleet
  • Assist in budgeting processes for all vessels and coalition fleets, including data collection and filing.
  • Coordinate project works as directed, handle circulars from various makers (e.g., MAN, Hyundai), and support the Superintendent with various activities.
  • Update ABS PMS defect lists and assist with management report preparation for tankers and dry vessels.
  • Arrange non-routine tasks such as visa applications, flight bookings, and travel records for designated personnel.
  • Facilitate BIMCO contract agreements for new vessel acquisitions and oversee technical administrative meetings and planning.
  • Prepare / Assist with presentation on PPT , excel reports , graphs , analysis
  • Any other ad-hoc duties as assigned by Line Manager
Requirements
  • Min Diploma in any discipline
  • Prior experience in a Shipping company is a plus
  • Ability to manage multiple tasks and prioritize effectively.
  • Familiarity with MS Office Suite (Word, Excel, PowerPoint) and document management systems.
