About the company

My client is a well-known established company within the commodity trading industry. They are an organization that strives to be a step ahead through agile business practices, enterprise transformation and resource optimization.

About the role

You will be the main point of contact for administering and providing day to day HR operational support to the team. Your focus is to manage HR systems and operations related to processes, administering internal expatriates mobility, total rewards, end to end employee cycle. Your role will include but not limited to:

HR Ops and internal expatriates mobility
  • Update and maintain data of employees in the HRIS, ensures data accuracy of entries.
  • File and maintain e-personnel documents in an organized manner under the shared folders and HRIS.
  • Coordinate employment cycle related activities such as confirmations, benefit updates after confirmations, addition of dependent insurance, exit interviews etc.
  • Administer the leave module under HRIS such as maintaining accurate leave records, crediting compensation leave, administering leave carry forward process according to company policy and legislative requirements.
  • Provide leave balance for Finance and Accounting teams provisioning.
  • Coordinate confirmations and benefit updates after confirmations, probation extensions etc.
  • Submit work pass application, renewals, and updates on MOM platform on a timely basis.
  • Administer RS related items such as claim reimbursement, facilitate accommodation arrangement, preparing reports relating to RS remuneration / accommodation for monthly updates to the Finance and Accounting team.
  • Answer enquiries pertaining to HR guidelines and policies.
Payroll administration
  • Prepare data for payroll according to monthly updates and changes. Facilitate the payroll process and ensure timely submission to the payroll vendor.
  • Prepare required reports and follow up with stakeholders on approvals.
  • Administer and file for government grants such as maternity, paternity, childcare and reservist leave etc.
  • Prepare data for annual employee income tax declaration with the support of tax agent and payroll vendor.
Other administrative and ad-hoc team support
  • Claims and invoicing matters in internal HR system.
  • Maintaining monthly organization chart.
  • Prepare letters such as certification of employment, confirmation letters etc.
  • Keeping the team updated on latest HR trends i.e. new employment acts/regulations, market trending news etc.
  • Churning HR reports into presentation slides for HR meetings/town halls.
  • Other ad-hoc support for department projects and events.
What you will bring along with you
  • A bachelors degree, preferably with specialization in HR.
  • At least 3 years of relevant HR generalist experience coupled with internal mobility and payroll administration expertise.
  • Advance proficiency in Microsoft suite of programs Microsoft Excel, with proficiency in VLOOKUP and Pivot table.
  • Have good acumen with numbers.
  • Able to manage tasks independently and takes initiative to seek support when needed.
  • Good communication skills, time management skills and situational awareness.
