About the Role

We are seeking a highly capable Senior Executive Assistant to support the CEO with proficiency in Japanese (both written and spoken) at a dynamic start‑up company in the AI / Technology sector, based in Singapore. This is a full‑time role requiring strong organizational, communication, and cross‑cultural skills.

Key Responsibilities
Communication Management
  • Act as the point of contact for internal and external stakeholders.
  • Draft, review, and manage correspondence, presentations, and reports on behalf of the executive.
Travel & Logistics
  • Coordinate complex travel arrangements, including flights, visas, accommodation, and itineraries.
  • Handle last‑minute changes and ensure seamless travel experiences.
Calendar & Schedule Management
  • Manage and prioritize the executive’s calendar, scheduling meetings, appointments, and travel.
  • Anticipate scheduling conflicts and proactively resolve them.
Meeting & Event Coordination
  • Organize and prepare for meetings, including agenda setting, briefing materials, and follow‑ups.
  • Coordinate executive‑level meetings, workshops, and off‑sites.
Administrative & Operational Support
  • Handle expense reports, budgets, and invoice processing.
  • Maintain filing systems, records, and documentation.
  • Support office operations as required.
Stakeholder Engagement
  • Liaise effectively with board members, senior leaders, clients, and external partners.
  • Represent the executive in communications when appropriate.
Requirements
  • Act as a strategic partner to the senior executives and CEO.
  • Strong expertise in managing schedules, travel, and executive‑level communication.
  • Strong experience in project management and ability to follow through key initiatives.
  • Professional fluency in English and Japanese (both written and spoken).
  • Proven experience as an Executive Assistant or Senior EA, ideally in a fast‑paced or start‑up environment.
  • Excellent organizational and interpersonal skills, with the ability to manage multiple priorities.
  • Comfortable working with government officials and senior stakeholders.
  • Proficiency in Microsoft Office Suite and other collaboration tools.
