Job summary

A leading property investment firm in Singapore is seeking an Administrative Support role to manage operations for a portfolio of Industrial buildings. Responsibilities include handling invoices, utility billing, and tenant communications. The ideal candidate will possess a Diploma in Business Administration and have 3-4 years of relevant experience, with strong analytical and organizational skills. Proficiency in MS Office is essential for success in this role.

Qualifications

Responsibilities

  • Providing administrative support for a portfolio of Industrial buildings.
  • Raising all POs, OAs, GRNs, invoices, refunds.
  • Tracking term contract invoices and following up on tenant's deposits.
  • Handling billings for utilities.
  • Updating tenant listings and tracking of handovers/take overs/fit outs.
  • Managing tenant communications and addressing tenant queries.
  • Filing of service reports.
  • Supporting any other adhoc site operations.

The Role

This position will provide administrative support for a portfolio of Industrial buildings.

Job Responsibilities
  • Raising all POs, OAs, GRNs, invoices, refunds
  • Tracking term contract invoices and following up on tenant's deposits
  • Handling billings for utilities
  • Updating tenant listings and tracking of handovers/take overs/fit outs
  • Managing tenant communications (e.g. sending out circulars to tenants, emails on things to note for incoming and outgoing tenants, preparing SP letters for incoming tenants)
  • Attending to walk-in contractors and tenants, being the first line of customer service to manage tenant queries and complaints
  • Filing of service reports
  • Supporting any other adhoc site operations (e.g., fire drills, tabletop exercises, roadshows)
Job Requirements
  • Diploma in Business Administration or related course of studies.
  • 3 - 4 years of relevant working experience.
  • Excellent command of English and strong analytical skills.
  • Meticulous, organized, detail-oriented, and comfortable with routine processes and paperwork.
  • Good time management skills.
  • Proficient in MS Word, PowerPoint and Excel.
