Office Operations & Facility Management
  • Oversee daily office operations and provide comprehensive administrative support.
  • Manage facility maintenance, including repairs of office equipment, air-conditioning, and safety systems (fire extinguishers/sprinklers).
  • Coordinate fleet management, including maintenance of company vehicles and petrol card administration.
  • Handle procurement of office stationery and pantry supplies.
  • Manage mailing services, newspaper subscriptions, and electricity usage records.
  • Coordinate document archiving and disposal of outdated records.
  • Act as the primary liaison with Building Management regarding lease agreements, parking, and office renovations.
  • Raise Purchase Orders (PO) for necessary office expenses.
HR Support & Employee Management
  • Monitor and maintain employee attendance records.
  • Coordinate training programs and maintain up-to-date training logs.
  • Administer employee benefits, including dental entitlements, medical insurance, and company insurance policies.
  • Organize annual health screenings for staff.
  • Oversee internship programs and related administrative tasks.
Travel, Events & Expat Support
  • Coordinate business travel arrangements, including flight bookings, hotel accommodations, and visa applications.
  • Organize company events such as annual dinners, quarterly meetings, and food coordination.
  • Provide tenancy support to expatriate staff, resolving housing-related issues (e.g., electrical or AC repairs).
Security & Compliance
  • Maintain office security protocols.
  • Ensure proper filing and management of company contracts and legal agreements.
