Job Summary:
We are seeking a highly motivated, organized and customer-focused individual to join our team as a Sales Admin & Logistics Executive. In this role, you will be responsible for providing crucial administrative support to our sales team while also delivering exceptional customer service to our clients. Ensure efficient and timely flow of goods, from procurement to delivery, supporting our operational excellence. You will play a key role in ensuring smooth sales operations and fostering positive customer relationships.
Responsibilities:
- Process sales orders accurately and efficiently, ensuring all necessary information is complete.
- Maintain and update customer, sales records, logistics activities in our system
- Prepare sales-related documents such as quotes, purchase order, invoices and sales reporting
- Coordinate with various departments (e.g., logistics, finance) to ensure timely order fulfilment and delivery.
- Coordinate and oversee the entire logistics process, including inbound and outbound shipments, warehousing, and transportation.
- Optimize shipping routes and methods to minimize costs and transit times while maintaining service quality.
- Manage relationships with freight forwarders, carriers, and customs brokers to ensure smooth operations and compliance.
- Track and monitor shipments, proactively addressing any delays or issues that may arise.
- Prepare and process necessary logistics documentation, such as shipping manifests, bills of lading, and customs declarations.
- Respond to customer inquiries promptly and professionally via phone, email
- Prepare and send timely and professional email reminders to customers regarding payment related issues
- Handle general administrative tasks, including filing, photocopying, and managing correspondence.
- Contribute to the development and improvement of sales processes.
Qualifications:
- Degree in Logistics, Supply Chain Management, Business Administration, Engineering or related field
- Minimum 3 years of experience in sales administration, logistics / supply chain or a related administrative role.
- Strong understanding of international shipping regulations, customs procedures, and Incoterms.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills with a strong attention to detail.
- Strong written and verbal communication and interpersonal skills.
- English & Chinese language proficiency is required as this position involves communicating with customers etc.
- Ability to multitask, prioritize, and work effectively in a fast-paced environment.
