Overview

Role Summary / Purpose The facilities Coordinator is responsible for managing office and lab operations, site maintenance and site security and safety. The facilities Coordinator reports to the Office Manager, ASEAN.

Key Responsibilities
  • Daily Operations: Manage front-desk support at the office, Visitor Management, courier services and office/lab operations.
  • Maintain appropriate levels of office supplies consistently with firm purchasing practices.
  • Coordinates office management activities – e.g. Fire warden, renovation.
  • Maintenance & Repairs: Coordinate with vendors for site cleanliness, pest control, equipment service, HVAC, lighting, fire safety systems, annual power shutdown support, etc.
  • Vendor management: Ensure vendor service quality, completion of facility management tasks, timeliness of service reports, invoice reviews, etc.
  • Building management: Coordinate with landlord on lease matters, seasonal carpark, building access cards.
  • Space Management: Oversee workstation allocation, office move and seating arrangements.
  • Health & Safety: Ensure compliance with fire safety regulations, workplace ergonomics, and security protocols.
  • Badge control: New hire badges / replacement badges / deactivation of badges.
  • Inventory Control: Manage office, pantry, and stationery supplies.
  • Reporting: Update asset inventories, and report facility issues to management.
  • Any other tasks/projects as assigned by the manager.
Job Requirements
  • 2-3 years in facilities management, operations, or administration
  • Strong communication, organizational, and vendor management skills.
  • Familiarity with building systems and MS Office.
  • Fast-paced, requiring proactive problem-solving.
