Job description

We are seeking a highly skilled and driven Project & Facilities Executive / Manager to join our team. The ideal candidate will bring strong expertise in retail store design, construction project management, and facilities operations. You should possess a deep understanding of architectural and M&E requirements, excellent coordination and problem-solving skills, and the ability to manage multiple stakeholders to ensure projects are delivered on time, within budget, and in full compliance with local regulations. If you have experience in design development, 3D rendering, project supervision, and facilities maintenance, we would like to hear from you. This role will report directly to the Head of Retail Management Services.

Working days: Monday - Friday

Working hours: 8.30AM - 6.00PM

Responsibilities
Design/ Project Management
  • Responsible for store design and renovation projects of retail stores and company’s properties.
  • Understand site requirements, review brand design guides, provide design solutions and render 3D design perspectives to support effective design articulation. Overcome site challenges through innovative design inputs and creative material choices.
  • Review technical drawings and documents for submission; ensure interior, architectural, M&E works are carried out according to specifications, regulations and guidelines etc.
  • Lead, manage, and organise construction projects with a high level of professionalism, while collaborating with various departments to ensure that all project deliverables are completed on time and within budget.
  • Oversee construction, review materials, coordinate delivery, installation of fixtures and other equipment, ensuring that the store is well built and ready for on-time opening.
  • Track work progress and budget while reporting and identify potential risks or issues that could affect progress, quality, and safety. Develop contingency solutions to address unexpected challenges.
  • Ensure compliance with local regulations, building codes, safety standards, and permits. Facilitate inspections and approvals to meet legal requirements.
  • Handle special projects and other ad hoc duties as assigned.
Facilities Management
  • Responsible for overall maintenance works which includes planning for a preventive maintenance schedule, budget and coordinate works for facilities management.
  • Promptly attend to and rectify all facilities issues and emergencies with minimal disruption to store operations.
  • Oversee retail store and office assets management, including handling of master inventory list, coordinating and carrying out asset transfers.
  • Regular building inspection and analysis of technical reports as needed, for recommendations for repair, upgrade and improvement to all facilities and equipment.
  • Monitor and ensure that security measures for corporate office and retail stores are in place.
  • Manage all the M&E certification required by authorities such as fire certification etc.
  • Maintain good relationship with vendors, suppliers, and contractors while ensuring they provide quality services and products at best value.
  • Other ad hoc duties as assigned.
Requirements
  • At least a Diploma/Bachelor's Degree in architecture, interior design, construction management, or a related field is preferred.
  • At least 5 years of relevant working experience in project management, particularly in retail store design, construction, with the ability to coordinate various stakeholders, manage budgets, and oversee construction processes.
  • Strong knowledge in building M&E maintenance and renovation, ACMV, FSSD code, local code of practices and regulations.
  • Must have with hands on experience in electrical and building maintenance works and technically competent to evaluate, analyse, and troubleshoot building defects.
  • Excellent interpersonal skills and communication skills to interact with stakeholders, team members, and contractors and suppliers.
  • Experience in managing project budgets, tracking expenses, optimizing resource allocation for delivering projects within financial parameters.
  • Effective time management skills for meeting multiple project milestones and deadlines simultaneously.
  • Highly proficient in Microsoft Office, AutoCAD, Adobe Suite and 3D rendering software.
