We are looking for a proactive and well‑organised Project Executive to support both business development and event operations. This role will focus on following up on proposals, managing client presentations, and ensuring smooth coordination from initial enquiry through to event execution.
The ideal candidate is detail‑oriented, confident in client communication, and capable of managing multiple projects in a fast‑paced event environment.
Sales Responsibilities
- Follow up on submitted proposals, quotations, and client presentations in a timely and professional manner.
- Coordinate and schedule client meetings and presentation sessions.
- Maintain strong relationships with existing and prospective clients.
- Assist in preparing pitch decks, proposals, and creative presentations.
- Track sales pipeline and update client status in CRM or internal systems.
- Identify potential upselling and cross‑selling opportunities.
Project Management
- Coordinate project timelines, deliverables, and internal resources.
- Act as the key liaison between clients, design, operations, and production teams.
- Manage project documentation including briefs, amendments, and approvals.
- Ensure deadlines and milestones are met according to project schedules.
- Monitor budget allocations and flag potential cost overruns.
Events Execution
- Support pre‑event planning, logistics coordination, and vendor management.
- Be present during event setup and execution to oversee operational flow.
- Perform on‑site troubleshooting and ensure smooth event delivery.
- Coordinate with suppliers and manpower for timely deployment and setup.
Reporting and Analysis
- Prepare post‑event reports including project performance and client feedback.
- Track sales performance, conversion rates, and proposal success metrics.
- Analyse project efficiency and suggest improvements in workflow.
- Maintain accurate records of proposals, timelines, and client communications.
Continuous Improvement
- Propose enhancements to proposal formats, presentation styles, and follow‑up processes.
- Identify workflow inefficiencies and recommend process improvements.
- Stay updated on industry trends, client expectations, and competitor offerings.
- Contribute ideas to improve internal systems and client experience.
