RESPONSIBILITIES
MAIN PURPOSE / OBJECTIVES

The Programme Assistant is part of a care team who is responsible for ensuring order and safety on the ground and engaging the residents in holistic and meaningful activities, equipping them with the resilience to help them overcome their challenges.

  • Embrace the Salvation Army's stated mission and work in partnership by assisting Carehaven management to deliver quality of care for its residents.
  • Work with the residents in accordance with Carehaven's mission and all regulatory requirements, maintaining professional and purposeful relationships with the working team and residents, respecting and valuing individuals' diversity and the variety of their contribution and ensuring that the service provided to the clientele uphold these principles.
  • Provide prompt feedback to the centre manager and relevant parties on the residents' progress, needs and concerns through proper communication channels, logs and other required documentation.
  • Work in line with the holistic care plan of the residents and with the shelter's working partners to provide all the ground support needed to meet the needs and best interests of the women in the shelter.
  • Plan and facilitate small group or community group activities / programmes geared towards fostering community bonding and engagement amongst the women to cultivate a cohesive family culture and to help them develop self‑help skills, life skills and resilience in coping with the challenges they faced.
  • Support, monitor and facilitate the smooth running of the daily routine and activities run by the centre or volunteers.
  • Provide all the support needed for events or any special visits from authorised parties.
  • Exercise full vigilance on the ground to ensure order and safety of the clientele and to raise immediate alert on any issues, observations, incidents or concerns that may pose disruption, conflict or a safety interest to the women at the shelter.
  • Raise to alert any issues or observations that may put the shelter interest at risk of media exposure or in jeopardy.
  • Attend to all on‑site incidents acting in accordance with protocols and guidelines and report the incident promptly to the respective Managers.
  • Adhere to all reporting and communication protocols to meet the audit and care standards of the shelter and to manage all information on the shelter and the clientele within confidentiality guidelines.
  • In all communication and actions, uphold the dignity and interests of the women as priority. No discriminating remarks or actions would be tolerated. Ensure proper management and handling of interpersonal conflicts with diplomacy and sensitivity.
  • Conduct checks and patrolling of premises to ensure the women's safety and maintain the cleanliness of the premises. Flag out any building defects or issues that may pose environmental hazard to the occupants.
  • Provide the covering manpower support whenever the need arises.
  • Respect and safeguard the rights of persons and organisations served in a relationship of mutual trust, privacy and confidentiality in their use of our service and be responsible in the use of all information given and received. (In a professional client and worker relationship, there is also some implication of consent to release information).
2. ADMINISTRATION
  • Attending all meetings as required
  • Communicate in a timely, open and honest way, encouraging two‑way constructive feedback covering all spectrum of issues.
  • Participate in seminars, workshops and training sessions for professional development.
  • Other secondary or ad‑hoc duties as assigned by the management.

ACCOUNTABILITY

Responsible to: Programme Manager

DUTY HOURS

The total work is 18 hours per week.

Under normal circumstances the hours of duty will be as follows:

4 days per week, 1.30pm to 6.00pm.

It is expected that staff will provide full time professional commitment and exercise flexibility in work schedules when necessary (due to meetings / programme needs and events / training). Some evenings, weekends and public holidays, you may be required to work as determined by the needs and demand of the services.

It will be at the discretion of your superior in charge or his/her assigned representatives to determine whether you will be required to work any unutilised hours according to the operational needs of the programme and within the legitimacy of the employment laws where applicable.
