Preschool Admissions Executive

The Preschool Admissions Executive serves as a primary brand ambassador for SJI International Preschool, driving enrolment growth through strategic outreach, personalised relationship management, and the identification of families aligned with the school’s long-term vision and community goals.

This role is central to articulating the school's vision, philosophy, and curriculum by participating in a full range of admissions activities, including, but not limited to, enrolment management, recruitment/outreach, event planning, database management, application review and collaboration with the Head of Admissions, Preschool Principal and the Director of Admissions, Scholarships & Philanthropy.

The Executive is expected to leverage excellent marketing and communication skills to effectively position the school when meeting new families, conducting campus tours, and securing applications. In addition, the job requires skilled administrative support of the application process (staying on top of heavy correspondence, database and other documentation, procedural workflow, analytics, screening and evaluation of applications). In general, the work is best supported by a person who can offer personalised service with excellent technical, marketing, communication, and organisational skills.

General responsibilities and duties
  1. Management
    • Represent Admissions in the school's Management/planning meetings
    • Assist in the management and implementation of the Preschool Admissions Strategy and enrolment budget as set by the Director, Admissions, Scholarships & Philanthropy, including Admissions projects where required.
    • Assist with exception handling and complaint management
    • Production of daily/weekly enquiry/admissions status and pipeline performance reports
  2. Enquiries
    • Lead Qualification & Nurturing: To manage and nurture prospective parent leads, noting family profiles and background context that may aid future community engagement, while providing timely, personalised, and compelling information that highlights the unique value proposition of the Preschool.
    • Data-Driven Insights: To meticulously capture enquiry data and family profiles, contributing to admissions analytics for optimising marketing, recruitment, and community engagement strategies.
    • To work with the Head of Admissions to produce and distribute admissions documentation and the School Prospectuses.
    • Prospective parent engagement: To maintain contact with enquirers, inviting them to relevant school events
    • To ensure all admissions paperwork, for example, online applications, emails, system updates, etc, are up-to-date
    • To arrange meetings with the Head of Admissions or a relevant Executive Leadership team member, if required
  3. Pre-admissions
    • Processing online applications as quickly as possible - included pull-through of details from the application portal onto the application database, and creation of a prospective pupil file.
    • Ensuring that all applications are completed in full, including all supporting documentation.
    • Requesting references from the pupil’s current school, if required.
    • Meet and conduct school tours with prospective parents/students to articulate the School’s admissions philosophy, capacity, admission priorities and admission timeline, mission statement, etc.
    • Ensure that all policies related to admissions are clearly articulated and consistently followed, working closely with the Head of Admissions and the Head of Preschool to update these as needed.
    • Provide counsel about and to maintain the admissions section on the school’s website.
    • Oversee the maintenance of the student admissions database.
    • To communicate all financial aspects related to enrolment into the school, including subsidies for Singaporeans.
    • To liaise with the Preschool Principal for Admissions Interviews where required, ensuring that all Admissions data is completed and available.
    • To contact all parents after the completion of the application process to confirm the school’s decision on admission.
  4. Admissions
    • Once students are offered a place, they need to manage the enrolment process from start to finish, including student files and admissions pool at all grade levels.
    • Identifying parents who would be good advocates or potential future supporters of the school and sharing this information with the Preschool Leadership team and the Director of Admissions, Scholarships & Philanthropy.
    • Keeping admissions statistics up-to-date and submitting to the Head of Admissions and Director of Admissions Scholarships & Philanthropy.
    • Communicate details about all newly enrolled students to all relevant team members.
    • Collaborate with the Preschool Principal to ensure that all students are assigned to the correct classes.
    • Ensure that all new students have a pupil file.
    • Responsible for the process of obtaining Student Passes for overseas students via the ICA Solar+ platform.
    • Confirm student placements, referring relevant issues to the Head of Admissions.
    • Liaise with the Finance Office on all matters pertaining to fee payments and subsidies (where applicable) for newly enrolled families.
    • Process subsidies where required.
    • Contact families in the admissions pool if places become available.
    • Where applicable within the role, to work with the school's management information system.
    • To act as a liaison between the Preschool and the Elementary School to enable a seamless transition for Preschool students who qualify for transition.
    • Ensure that the ECDA guidelines are being adhered to at all times.
    • Assist parents in the purchase of merchandise such as uniforms, caps, books, etc.
    • Administer students’ admission, student visas, policies and procedures, rules and regulations in compliance with ECDA and academic progression requirements.
  5. Student Withdrawals
    • Responsible for the student withdrawal process, including collating student withdrawal information, informing all relevant team members as soon as possible, and updating the ECDA CMS
    • To cancel Student Passes for leaving students – if required
    • Coordinating references
  6. Events
    • Event Marketing & Execution: To take a proactive role in planning and executing high-quality Admissions Events, ensuring a positive and persuasive experience that maximises prospective family attendance and conversion.
    • Attending other school-wide events for information gathering or to have an Admissions Dept presence
  7. Any other duties assigned by the Head of Admissions or Director of ASP.
Requirements:
  • Minimum of 3 years of Admissions Officer experience is preferred, alternatively significant experience in front of House / Customer Service position.
  • Bachelor’s degree or diploma in a relevant field.
  • Team player with a positive, cheerful, helpful work attitude and initiative.
  • Capable of independent and committed effort, with good organisation & interpersonal skills.
  • Proficient in Microsoft Office and Google Suite is essential.
  • Travel between Elementary School and Preschool.
