Job summary

A leading project management firm in Singapore is looking for a Project Management Officer to handle scheduling, documentation, and stakeholder communications for complex projects. The ideal candidate has at least 2 years of experience in a PMO role, strong organizational and interpersonal skills, and a foundation in IT systems. This role involves managing project documentation and facilitating updates to management.

Qualifications

  • At least 2 years of experience in PMO or project-related roles from an IT background.
  • Foundation understanding of network, cloud, and systems.
  • Experience in managing relationships and stakeholders in complex projects.

Job Description
  • Takes care of scheduling, manages communications, secures resources and finds venues for meetings.
  • Record minutes during meetings and take additional notes and send them to team members to ensure follow-up.
  • Managing all the paperwork that the project requires.
  • Creating and editing workflows.
  • Sharing documents with stakeholders and internal teams
  • Recording project progress performance metrics, budgets and expenditures.
  • Documenting meeting minutes.
  • Maintaining and updating a project calendar.
  • Processing purchase orders and invoices.
  • Track tasks and ensure their completion and inform team members if they are behind schedule or missing tasks.
  • Ensure quality of documentations, test plan and presentation from Team.
  • Raise the necessary Service Request or Change Request.
  • Manage project repositories and knowledge.
  • Facilitate regular updates to management e.g. Project Steering Committee meetings by creating a project dashboard which outlines project status, timeline, milestones, budget versus spent, risk/issue and quality metrics for management update and decision-making.
Requirements
  • At least 2 years of experience in PMO or project-related accountabilities from IT background/ domains.
  • A foundation understanding of network, cloud and system.
  • Experience in managing relationships and stakeholders involved in the establishment and ongoing management of complex, large scale projects.
  • Possess excellent interpersonal skills and collaboration skills to work across teams internally and externally.
  • Be innovative and resourceful with strong interpersonal, organisational and senior management.
  • Experience or certification in ITIL Service Management is an advantage.
  • Experience in managing a project office with a portfolio of projects.
