Job summary

A leading executive support firm in Singapore is seeking an experienced Executive Assistant to manage complex calendars, prepare meeting materials, and support investor relations. The ideal candidate will have over 5 years of experience supporting C-level executives, a strong understanding of financial terminology, and fluency in both English and Mandarin. This role requires exceptional organizational skills and the ability to maintain confidentiality in all communications.

Qualifications

Job description

Manage complex calendars, meetings, and schedules across time zones

Prepare meeting materials, decks, agendas, minutes, and follow-up

Handle confidential correspondence, documentation, and record-keeping

Track deadlines, deliverables, and investor communication updates

Coordinate with Finance, Operations, and Compliance on business tasks

Investor Relations

Support communication with investors, partners, and clients

Assist in preparing/editing investor letters, presentations, and CRM records

Administration & Office Management

Arrange travel, accommodation, expense claims, and vendor coordination

Manage logistics for offsites, team events, and investor gatherings

Personal Assistance

Manage personal appointments, family/travel arrangements, and household matters

Liaise with service providers, family office contacts, and handle errands with discretion

Requirements
  • Bachelor’s degree preferred (Business/Finance/Communications or related field)
  • 5+ years of EA/PA experience supporting C-level executives (financial services/PE/IB preferred)
  • Strong understanding of financial terminology and investor dynamics
  • Good command of English and Mandarin (to support Mandarin-speaking stakeholder)
  • Highly organized, proactive, and able to manage priorities independently
  • Strong confidentiality, professionalism, and client-facing communication skills
  • Proficient in Microsoft Office, Google Workspace, and CRM/fund management tools
