JOB DESCRIPTION

  • Manage schedules & calendar – Coordinate daily appointments, meetings, and travel plans for the Director, ensuring optimal time use
  • Handle communications – Respond to emails, calls, and messages professionally on behalf of the Director
  • Meeting preparation & minutes – Draft agendas, take accurate meeting minutes, and track follow-up action items
  • Travel & logistics support – Organize domestic/international trips: flights, hotels, itineraries, and transportation
  • Billing & paperwork support – Assist with invoice preparation, billing processes, and other administrative documentation
  • Document management – Maintain secure and confidential filing systems for reports, contracts, and sensitive records
  • Stakeholder coordination – Liaise with internal teams, clients, and external partners on the Director's behalf
  • Research & reporting – Prepare briefing documents, compile market insights, and assist in data analysis when required
  • Event support – Occasionally travel (up to 1–2 times a year) to assist in coordinating or supporting company events
  • General admin tasks – Help manage office supplies, expense claims, and other ad-hoc duties as needed

JOB REQUIREMENTS

  • Minimum Diploma in Business Administration, Management, or a related field
  • At least 1 year of experience as a personal or executive assistant
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • High level of confidentiality and professionalism
  • Proficient in MS Office (Word, Excel, PowerPoint) and digital collaboration tools (e.g., Google Workspace, Zoom)
  • Proactive, detail-oriented, and able to work independently
  • Good interpersonal skills and a positive, can-do attitude
  • Ability to work under pressure and adapt to changing priorities
  • Familiarity with business operations or executive-level support is an advantage
