An established company in Singapore is seeking an Operations Executive to support trade sales and coordinate e-commerce operations. Responsibilities include managing order processing using NetSuite and Shopify, ensuring smooth sales transactions, and providing customer service support. Ideal candidates should have a minimum diploma, knowledge of supply chain processes, and strong MS Excel skills. The role offers performance bonuses and additional benefits.
Main Duties
Sales & Systems Support
Support Trade Sales and E-commerce teams using NetSuite/Shopify for sales transactions, invoicing, stock-level analysis, and resolving delivery or aftersales issues (e.g., missed deliveries, stock discrepancies, quality control matters)
Daily checking and processing of orders
Ensure order flows move smoothly without delays
Liaising with sales team on any irregularities found
Manage exceptions such as out of stock issues / mismatch issues
Maintaining accurate records of sales transactions, purchase orders and delivery orders
Uploading of invoices to customer portal
Month end reconciliation of consignment billing and sales reports
Monitor third party warehouse pick-and-pack processes and ensure timely scheduling of deliveries (ensure SLA’s are met)
Troubleshoot operational issues with warehouse representatives and resolve challenges proactively
Perform quarterly quality checks at the 3PL warehouse and ensure proper housekeeping is maintained
Provide customer service support via management of customer service email inbox
Ensure customer service issues are resolved in a timely manner
Support the E-commerce team with pick-and-pack operations when required.
Assist the sales team during set up for atrium sales and customer events (e.g., baby expos)
Participate in the annual stock audit across all warehouses, offices, and consignment locations, and consolidate audit results
Respond to auditor queries related to Singapore purchase and sales transactions
Provide general administrative support to the office (general office maintenance, including ordering supplies and coordinating equipment servicing)
Provide coverage for operations colleagues during their absence
Minimum Diploma or equivalent
Knowledge of order processing, supply chain & inventory management
Required skills(s): MS Excel
Systematic co-ordination and follow up skill
Ability to work collaboratively, willingness to learn and take feedback positively
