A premier co-working community is seeking an Operations Executive to ensure seamless member experiences and maintain high-functioning facilities. The ideal candidate will manage member feedback, oversee logistics for events, and handle administrative duties. Strong communication and organizational skills are essential, along with a willingness to assist with physical setups. Preference will be given to candidates with experience in hospitality, real estate, or facilities management.
The Operations Executive is a key pillar in the day-to-day success of Workcentral, a premier co-working community located in the heart of Dhoby Ghaut. Reporting to the Centre Manager and working closely with the Member Relations team, you will serve as the face of the company.
Your mission is to ensure a seamless member experience by maintaining high-functioning facilities, providing exceptional service, and managing rigorous administrative standards. This role is ideal for a proactive, solution-oriented individual with a meticulous eye for detail and a "customer-first" mindset.
Member Experience & Community Management
Resolution Management: Act as the primary point of contact for member feedback and issues, ensuring timely resolution and high satisfaction levels.
Communication: Monitor the general inquiry email and emergency phone line for IT, maintenance, and cleanliness requests.
Quality Control: Maintain the Complaint Log to track trends and implement long-term improvements.
Offboarding: Conduct thorough member exit checks to ensure a smooth transition and asset recovery.
Operations & Facility Management
Infrastructure: Liaison with building management and external vendors to ensure all facilities and utilities are fully operational.
IT Support: Manage basic IT troubleshooting and coordinate with external IT vendors for complex issues.
Procurement: Oversee office supplies and pantry inventory, managing vendor relationships and cost-effective purchasing.
Administration & Finance
Systems Management: Maintain the accuracy of the CRM and Co-working Space Management software.
Financial Admin: Manage invoicing and monitor Accounts Receivable to ensure timely collections.
Documentation: Handle physical and digital document management, ensuring all contracts and records are organized and compliant.
Events Support
Logistics: Coordinate with event clients to understand technical requirements and floor plan setups.
Execution: Oversee the physical setup and breakdown of event spaces to ensure they meet Workcentral’s high standards.
Excellent communication and interpersonal skills.
Strong organizational abilities with the capacity to multitask in a fast-paced environment.
Proficiency in general office software and an aptitude for learning management systems (CRM/Coworking software).
A hands-on approach and a willingness to assist with physical event setups.
Prior experience in hospitality, real estate, or facilities management is a plus.
