Job summary

A dynamic tech company in Singapore is seeking an Administrative Coordinator to enhance onboarding experiences and manage various administrative tasks. Responsibilities include conducting orientation sessions, supporting project resource allocation, and maintaining vendor relationships for office events. The ideal candidate should excel in time management, possess excellent communication skills, and be proficient in Google Suite. This role is essential in creating a high-performing culture while ensuring smooth operational processes.

Responsibilities

  • Conduct new hire orientation sessions for consistent onboarding.

  • Prepare weekly reports on timesheets and utilization trends.
  • Manage vendor relationships for office events.
  • Assist with travel arrangements and visa liaising.

Job description
  • Partner with Talent team in APAC to conduct new hire orientation sessions to ensure a consistent onboarding experience for all new hires.
  • Support in creating and maintaining a high-performing culture.
Partnering with Global Ops and Resource Management
  • Partner with RM to support and assign projects with appropriate resources promptly and accurately in our people management system.
  • Prepare and maintain a database of the engineers’ core skillsets and specialisms.
Reporting
  • Prepare a variety of weekly reports on timesheets and utilization trends.
  • Provide accurate forecasts of upcoming capacity and project pipeline.
Workplace Operations
  • Vendor management for celebration or office events (payment via Amex etc),
  • Assisting with travel arrangements by liaising with Vietnam Immigration on Visas and recommended hotel / car service for travelers.
  • Tracking and supporting visitors in the office space with access etc needed.
  • Inventory control of our Swag received from Singapore.
What we’d like to see.
  • Experience in an administrative or coordination role in a tech or creative agency environment, or other similar role.
  • Someone who can take on multiple tasks in a fast-paced environment. This means excellent time management skills, strong follow-up and an attention to detail, all with minimal direction.
