Roles & Responsibilities

As an Institutional Sales Service Coordinator, you will become an integral member of a close-knit team responsible for delivering exceptional administrative support to institutional sales professionals operating across Asia ex-Japan.

  • Assist with processing expenses for the Asia ex-Japan Sales Team by ensuring all claims are accurately documented and submitted in a timely manner.
  • Coordinate travel arrangements including booking flights, hotels, restaurants, couriers, and managing all logistics related to business trips and conferences for team members.
  • Anticipate the needs of clients and sales colleagues by efficiently communicating messages, checking emails regularly, and updating appointments throughout each working day.
  • Support the production of presentation books by gathering relevant materials, formatting documents, and ensuring high-quality outputs for client meetings.
  • Maintain accurate records of client data using Salesforce C360 local system for all sales and business activities in the Asia ex-Japan region.
  • Manage databases of new business opportunities and prospects while producing summary reports on these activities as required by senior management.
  • Assist with marketing activities such as sponsorships of industry events, preparation of marketing materials, venue setup, and providing end-to-end event support for both virtual and in-person functions.
  • Perform a variety of complex administrative and secretarial duties to assist the Senior Managing Director – Institutional Sales (Asia ex-Japan)/CEO in ensuring efficient office operations.
  • Collaborate closely with colleagues across departments to ensure seamless execution of daily tasks and special projects as needed.
  • Undertake additional responsibilities as requested to support overall team objectives.
