HR Executive (HR Operations & Recruitment)
(Singapore focus / Malaysia focus)
Role Overview
We are hiring two HR Executives under the same role, with each position supporting either Singapore or Malaysia HR operations. This is a hands‑on role covering HR operations, payroll support, recruitment coordination, with involvement in day‑to‑day administrative and operational activities required to support business operations. Junior HR candidates with at least one year of relevant experience are welcome.
Reporting Line
Reports to: Assistant HR Manager
Key Responsibilities
HR Operations
- Support end-to-end employee lifecycle processes, including onboarding, offboarding, and employment documentation.
- Prepare, issue, and maintain HR-related documents such as employment contracts, confirmations, and letters.
- Maintain and update employee records, files, and HR systems to ensure data accuracy.
- Support day-to-day HR operational activities, coordination, and follow-ups.
- Assist in handling employee queries related to HR processes and documentation.
- Support implementation and upkeep of HR processes, internal records, and documentation.
Payroll & Statutory Support
- Support payroll processing activities.
- Assist in preparing payroll-related data and verification files.
- Support statutory submissions, audits, and payroll-related reporting.
Recruitment Support
- Support recruitment activities such as interview coordination and candidate communications.
- Assist with onboarding documentation and new joiner preparation.
- Provide administrative support throughout the hiring process.
Work Pass & Immigration Support
- Support work pass application, renewal, and cancellation processes.
- Prepare and maintain work pass-related documentation and records.
- Liaise with relevant authorities or external vendors when required.
- Track work pass validity and support compliance follow-ups.
Administration & Operational Support
- Provide day-to-day administrative support to support HR and business operations.
- Assist in documentation, coordination, tracking, and follow-up of operational matters.
- Maintain records, files, and information accuracy across assigned tasks.
- Support routine operational and administrative activities to ensure smooth daily operations.
Requirements
- Diploma or Degree in Human Resources or a related HR discipline.
- At least 1 year of relevant HR or administrative experience.
- Comfortable with hands‑on administrative and operational work.
- Strong attention to detail, follow‑up, and coordination skills.
- Willingness to learn HR operations, payroll processes, and work pass administration.
Remarks
- Position is based in Singapore.
- Candidates who are available at short notice are preferred.
