Job summary

A major organization in Singapore is seeking an experienced Personal Assistant to provide comprehensive support to the Group Executive Chairman. Responsibilities include managing correspondence, scheduling appointments, and coordinating meetings and travel arrangements. The ideal candidate must have a Bachelor's Degree, at least 8 years of experience in a similar role, and strong proficiency in Microsoft Office. This role requires excellent communication skills and the ability to work under pressure.

Qualifications

  • Minimum 8 years serving top executives in similar capacity.
  • Preferably Senior Executive specialized in Secretarial & Personal Assistant or equivalent.
  • Knowledge on shorthand will be an added advantage.

Responsibilities

  • Full spectrum of secretarial support to the Group Executive Chairman.
  • Prepare reports, documents, and presentation materials.
  • Handle travel arrangements including flight and hotel bookings.

Job description
Responsibilities:
  • Full spectrum of secretarial support to the Group Executive Chairman;
  • Provide support to the daily activities of the Group Executive Chairman including emails and meeting arrangements;
  • Take instruction and respond to emails / letters;
  • Attend meetings and take meeting minutes, if required;
  • Assist to co‑coordinate the Group Executive Chairman's daily work;
  • Follow up on Group Executive Chairman's memo to other key people in the Company;
  • Prepare reports, documents and presentation materials to be used by the Group Executive Chairman including co‑ordination with Communications Department;
  • Arrange internal and external meetings;
  • Receive Group Executive Chairman’s guests and arrange meeting rooms, refreshment and presentations;
  • Making arrangement for the local and Group board meetings including refreshment etc;
  • Handle travel arrangements - flight reservation, hotel accommodation, visa applications etc;
  • Attend to Group Executive Chairman's personal work;
  • Fully assist in general admin duties such as filing, faxing and typing;
  • Assist in the development, data entry and update of clients’ database / name cards;
  • Any other duties as required by the Group Executive Chairman and Group CEO
Requirements:
  • Minimum Bachelors’ Degree
  • Preferably Senior Executive specialized in Secretarial & Personal Assistant or equivalent.
