Job Responsibilities

Administrative & Office Management

Manage day-to-day administrative tasks for the Innovation Transfer Office / Research Office

Manage and organize records related to IP, patents, contracts agreement, and licensing agreements.

Handle procurement, office supplies, and expense tracking including royalties’ distribution matter.

Compliance and Reporting

Ensure adherence to institutional policies and IP regulations.

Assist in preparing reports, presentations, and data analysis for management reviews.

Support audits and documentation reviews when required.

Technology Licensing and IP Support

Assist in processing invention disclosures and coordinating patent applications.

Maintain databases for IP filings, agreements, and licensing activities.

Prepare and track documentation for contracts, NDAs, and licensing deals.

Coordination & Communication

Schedule meetings and coordinate engagements between researchers, industry partners, and legal teams.

Support workshops, events, and outreach activities related to IP awareness and commercialization.

Serve as a liaison between internal departments and external stakeholders

Qualification Required and Area of Discipline

Bachelor degree preferably in Science, Engineering. Other qualifications in contract law, Business or Entrepreneurship will be an advantage

Required Competencies and Capabilities (Skills, Experiences and Professional Licences):

  • At least A Level, Diploma or Bachelor of Science. Other qualifications in Business or Entrepreneurship, Clinical Trial Management preferred.
  • 2-4 years of relevant experience in administration for innovation Activities including (1) facilitating Research Collaborations admin work (2) IP Grant Management (3) Project Management (4) Contracts Management.
  • Experienced in mentoring junior staff
  • Good interpersonal and communication skills
  • Able to work in a complex organisational environment, with a need to balance expectations of multiple stakeholders
  • Possess strong analytical skills
  • Proficient in I.T. systems and MS Office applications.
