1. Job Functions:
The Executive, Corporate Secretariat will support the governance, board secretariat, and statutory compliance functions of the organisation. This role is suitable for an entry-level candidate with strong attention to detail, professionalism, and a keen interest in board governance and corporate secretariat work within the charity / non-profit sector.
The role also supports the organisation’s transition towards digital governance systems and structured compliance readiness.
Key Responsibilities
Board & ExCo Secretariat Support
- Assist in coordinating ExCo, Board, AGM/EGM and committee meetings, including preparation of agendas, logistics, and accurate minute-taking.
- Support the preparation and formatting of Board papers, resolutions, and structured documentation.
- Maintain proper records of governance decisions and ensure timely circulation of Board materials.
Corporate Governance & Regulatory Compliance
- Assist in statutory submissions via Charity Portal, ACRA, and related regulatory platforms, under the guidance of LCS.
- Support the upkeep of governance trackers and registers (e.g. resolutions, declarations, policies).
- Assist in monitoring compliance timelines and documentation readiness for audits.
Digital Secretariat & Records Management
- Maintain structured and secure digital filing systems for ExCo, Board and governance records.
- Support adoption of digital governance tools and document workflow improvements.
- Ensure version control, confidentiality, and audit-trail integrity of governance documents.
Stakeholder Coordination
- Coordinate with internal departments to ensure timely submission of reports and materials for Board/ExCo meetings.
- Support formal communications with Board Members, CEO’s Office and key stakeholders where required.
Other Duties
- Any other duties assigned by the Head, Legal, Compliance & Secretariat in alignment with governance and organisational priorities.
2. Candidate Requirements
- Diploma in Business Administration, Law, Public Policy, Governance, or related discipline.
- Strong written and spoken communication skills and high attention to detail.
- Professional, discreet and able to handle confidential information responsibly.
- Highly organised, structured and able to meet deadlines.
- Familiarity with digital tools (e.g. document portals, structured filing systems, governance platforms) will be an advantage.
- Possessing or working towards an ICSA / CSIS / SAICSA or equivalent corporate secretariat certification would be a strong advantage.
3. Working Hours
5 days work week
Monday to Friday - 9am to 6pm
