Purpose
The successful candidate provides comprehensive administrative and organisational support, ensuring the smooth operation of the President’s office. This role is key to enabling the President to focus on high-level strategic priorities. The ideal candidate must demonstrate exceptional problem-solving and communication skills, along with a high level of discretion, and sound judgment in handling sensitive and confidential matters.
Key Responsibilities
Executive Support
- Oversight of the President’s office, including managing his priorities based on University’s goals; leadership access to his time and focus.
- Anticipate potential issues and proactively finding solutions to ensure smooth operations.
Communication Management
- Refine and develop public speeches, briefing notes, and key messaging.
- Manage the President’s professional social media in collaboration with the Communications team, ensuring alignment with SUTD’s values and brand.
- Facilitate collaboration between departments and ensure decisions made by the President are communicated and executed effectively across SUTD.
Operational Coordination
- Track the implementation of major initiatives, e.g. Design AI in education and ensure key initiatives are implemented according to timeline.
- Develop presentation materials for the President, with emphasis on clarity, and visual appeal. Conduct research and synthesize data, reports, and insights to support informed decision-making.
- Provide admin support for the President’s research projects.
- Optimize travel arrangements (locally and overseas).
Liaison
- Developing and maintaining positive relationships with internal and external stakeholders on President’s behalf. This includes support the President in engaging with MOE, regulatory agencies etc.
Others
- Manage sensitive and confidential documents, communications, and records with absolute discretion.
- Undertake other duties and special projects as directed by the President to ensure the overall effectiveness and impact of the Office.
Key Requirements
- Minimum 8 years experience in a similar role supporting senior leadership
- Ability to multitask, prioritize, and thrive in a fast-paced environment
- Be able to work strategically with minimal supervision
- Excellent interpersonal skills, with a collaborative and respectful approach to working across departments and with external stakeholders.
- A proactive problem-solver with strong prioritization skills and the ability to make sound judgments.
- Strong writing and communication skills in English.
- High level of discretion, professionalism, and cultural awareness.
- Experience managing professional LinkedIn profiles or public-facing communication channels is an asset.
