Overview

The Opportunity

We are seeking an energetic and highly discerning Executive Assistant to provide strategic, high-impact support to the CEO and COO. This is a trusted partnership role designed to enable senior leaders to operate at maximum effectiveness by managing priorities, information flow, and critical stakeholder engagement.

You will be responsible for supporting the CEO and COO in managing complex calendars and competing priorities, preparing and following through on key meetings and decisions, filtering and synthesising information, and handling sensitive communications and information with discretion and sound judgement. The role requires proactive anticipation of needs, confident managing-up, and the ability to act as a gatekeeper to protect leadership time and focus.

This role will work closely with all functions across the organization to systematically capture, validate, and synthesise inputs required for effective decision-making and successful execution. You will coordinate across senior leaders, Board stakeholders, external shareholders, and internal teams to ensure alignment between strategic intent and day-to-day operations, enabling timely decisions and consistent follow-through.

Responsibilities
  • Provide end-to-end support for Board and senior management meetings, including scheduling, agenda coordination, preparation of materials, minute-taking, and timely circulation of outcomes, working closely with the CEO, COO, and Group HR Director.
  • Serve as Company Secretary for selected Boards, coordinating meeting calendars, governance documentation, and end-to-end Board logistics to ensure effective and well-run Board operations.
  • Coordinate, consolidate, and format presentations and reports from multiple functions into Board-ready materials, ensuring clarity, accuracy, and consistency.
  • Manage complex business travel arrangements for senior leaders, including flights, accommodation, ground transportation, and visa applications, in line with corporate travel policies.
  • Own and manage executive calendars with precision, ensuring priorities are well-sequenced, schedules are accurate, and meeting objectives and materials are prepared in advance.
  • Coordinate and set up local and regional meetings, including venue arrangements, logistics, and meeting support as required.
  • Support senior leaders in managing documentation, reports, and presentations by gathering inputs, synthesising information, and preparing materials to enable effective decision-making.
  • Provide high-quality administrative and operational support to the executive office and undertake ad hoc assignments as required.
Qualifications
  • Diploma or higher qualification in Business Administration or a related discipline.
  • 5-7 years of experience supporting senior leaders in a corporate or executive office environment.
  • Strong planning, organisation, and time-management skills, with the ability to prioritise effectively.
  • Ability to manage multiple tasks with attention to detail and follow-through.
  • Clear and professional verbal and written communication skills.
  • High level of discretion with the ability to maintain strict confidentiality.
  • Strong interpersonal skills and the ability to work effectively across business units and stakeholders.
  • Proficiency in Microsoft Office 365, particularly Excel and PowerPoint.
  • Comfortable using office and collaboration technologies, including video-conferencing tools.
