Position Summary
The Executive Assistant will provide high-level administrative support to senior executives, managing complex schedules, sensitive information, and coordinating internal and external communications. This role requires discretion, initiative, and the ability to prioritize multiple tasks in a fast-paced, high-performance environment.

Responsibilities
Communication & Information Management
- Review incoming mail/email, prioritize, summarize, and respond as needed
- Draft, proof, edit, and finalize correspondence and documents
Planning & Scheduling
- Plan logistics for domestic and international travel, including itineraries, agendas, directions, and backup materials
- Prepare and submit accurate expense reports in line with policy
- Manage executives’ calendars, anticipate conflicts, and communicate changes promptly
- Schedule meetings and events, ensuring necessary equipment/materials and hospitality services
- Coordinate investor and portfolio company meetings, prepare materials, track action items, and follow up
- Organize logistics for internal/external meetings, presentations, and industry events
- Proactively anticipate executive needs and ensure schedules are effectively managed
Liaison & Teamwork
- Act as liaison with portfolio organizations, investors, guests, and staff in a professional manner
- Handle confidential matters discreetly and professionally
- Support colleagues and firm-wide initiatives, including special projects or event planning
Ideal Experience & Qualifications
- 10+ years of executive assistant experience in private equity, asset management, investment banking, management consulting, or similar high-intensity environments
- Excellent written and verbal communication skills in English (Mandarin a plus)
- Strong organizational, interpersonal, and communication skills
- Superior time management, discretion, integrity, and attention to detail
- Ability to work flexible hours as needed
- Ability to synthesize information from multiple sources, identify patterns, and connect organizational elements
- Proficiency in Microsoft Office; experience with CRM/document management systems a plus
- Proactive, independent, and able to work under pressure
- Professional demeanor, sound judgment, and service-oriented mindset
