Job description

We are seeking a Support Assistant to join our Academic Events Team. The successful candidate will assist in the preparation and execution of graduation events, manage graduation-related logistics, and provide administrative support to ensure a seamless and positive experience for graduates and guests. You will be involved in handling event logistics, supporting the commencement process, managing communication channels like hotlines and emails, and assisting with ad-hoc projects.

📍 Location: Nearest MRT, Kent Ridge
🕒 Working Hours: Monday - Thursday: 8.30am – 6.00pm, Friday: 8.30am – 5.30pm
💰 Salary: From $2,500/month
🗓 Start Date: Immediate
📅 Duration: 6-month contract

Key Responsibilities
Commencement Event Support
  • Prepare and issue graduation collaterals such as degree scrolls and transcripts.
  • Assist in event preparation, including data preparation, logistics, registration (e.g., graduates and guests), and website updates.
  • Manage the FAQ portal, mailbox, hotline, and enquiries.
  • Perform other duties as assigned to ensure smooth event execution.
Graduation Matters
  • Support other graduation-related portfolios, including the management of mailboxes, hotlines, and other queries.
  • Assist in related service duties during graduation and other events organized.
Ad-hoc Administrative Support
  • Provide administrative and logistical support to the University Registrar’s office for various tasks, including managing hotlines and handling inquiries.
  • Assist in other related tasks as needed to support the smooth operation of the department.
Requirements

Education: Diploma

Language Skills: Good command of written and spoken English.

Organization: Ability to work well under pressure and meet tight deadlines.

  • Strong administrative skills and attention to detail.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint).
  • Problem-solving and critical-thinking skills with the ability to engage with diverse stakeholders.
  • IT certification or exposure to systems like PeopleSoft, Photoshop, Canva, or similar applications will be an advantage.
  • A service-oriented and positive attitude is essential.
