A corporate advisory firm in Singapore is looking for a Corporate Secretary Assistant to support compliance with ACRA and handle a range of corporate secretarial tasks. Responsibilities include preparing statutory filings, maintaining client corporate records, and assisting with KYC processes. The ideal candidate must have a keen attention to detail and strong organizational skills. This role requires maintaining confidentiality and providing excellent customer service as part of the team.
· Assist the Corporate Secretary in handling a portfolio of clients, ensuring compliance with ACRA and other relevant authorities.
· Prepare and lodge corporate secretarial documents with ACRA, such as incorporation of companies, annual returns, changes in directors, and other statutory filings.
· Maintain and update statutory registers and corporate records for clients, ensuring timely filing and compliance with statutory requirements.
· Coordinate and prepare agendas, resolutions, minutes, and other necessary documents for board meetings and Annual General Meetings (AGMs). - Assist with the drafting of corporate resolutions, shareholders’ agreements, and other legal documents.
· Handle the submission of relevant statutory filings and ensure deadlines are met.
· Assist in Know Your Client (KYC) processes, including conducting due diligence and maintaining compliance with Anti-Money Laundering (AML) regulations.
· Manage client communications, including responding to inquiries related to corporate secretarial matters and ensuring a high level of customer service.
· Ensure proper document control, organizing and managing both digital and physical files for easy retrieval.
· Support with the opening of bank accounts for clients and provide assistance with corporate changes, such as transfer of shares or director appointments.
· Maintain a high level of confidentiality and secure handling of sensitive corporate information.
· Any other ad-hoc job assigned by manager.
