Job summary

A dynamic engineering company based in Singapore is looking for an Administrative Support role. You will manage key correspondence, prepare essential documentation, oversee vendor relations, and handle financial processing including payments and invoices. This role also involves stock management and acting as the main contact for inquiries. Ideal candidates should be detail-oriented and able to support daily office operations effectively.

Responsibilities

  • Manage calls, emails, and key correspondences as the main point of contact.
  • Prepare reports, presentations, minutes, and maintain documentation.
  • Oversee supplies, vendor relations, and general office flow.
  • Process payments, handle invoices, and manage basic budgets.
  • Day-to-day office operations including filing systems and correspondence.
  • Process AP/AR and handle purchasing/invoicing.
  • Perform stocktake of company assets and products.
  • Act as the first point of contact for external inquiries.

Roles and responsibilities

Communication – Managing Calls, Emails, Key Correspondences asthe main point of contact.

Documentation – Preparing Reports, Presentations, Minutesand Maintain the Filing and proper documentation.

Suppliers & Stocks Checks - Overseeing Supplies, Vendorrelations and General Office Flow

Financial Support - Processing Payment, Handling Invoices andManaging Basic Budgets

Administrative Support – Manage day to day office Operations,Maintain Filing Systems, Handle Correspondence and Manage Office Supplies.

Accounting / Bookeeping – Process AP/AR, Handle Purchasing /Invoicing and preparing Simple Monthly Financial reports. GST Filing and AnnualFilling.

Inventory & Stock Management – Regularly perform stocktake of Company assets and products, maintaining accurate inventory records andcoordinating with the operations team on stock level.

GeneralDuties – Act as the first point of contact for external inquiries and providecrucial support to the management team as needed. Process, manage and trackinvoices to ensure prompt payment.

Keep records of sales, revenue, invoices etc.
